Passport applications in London

What do I need to do?

1. You must be registered with this Embassy.

2. Book an appointment online.

3. Complete the application form in Dutch or in French.

4. When you come for your appointment to the Embassy, you will need to bring with you: the completed application form and your old passport (+ a special delivery envelope should you want to receive the new passport by post). There is no need to bring passport photos with you.

5. Cost: £75 for a passport for an adult, £35 for a passport for a minor. Payment at time of appointment and by card only.

6. Children under the age of 6: You send us the application form either in Dutch or in French. (signed by at least one of the parents), two passport photos and a postal order for £35 made out to Embassy of Belgium (no cheques, no cash)  (+ a special delivery envelope should you wish to receive the new passport by post).

A. Passport application

1. My passport is no longer valid or will expire soon. How can I renew my passport ?

  • You will need to be registered with this Embassy no later than the day preceding your appointment.
  • Passport applications are strictly by appointment only. Appointments can only be made by clicking here.

2. My child is under 6 years old and his passport is no longer valid or will expire soon. How can I renew it ?

  • The child must be registered with this Embassy (along with his parents).
  • You send (or you can come to the Embassy with it) us the duly completed and signed application form either in Dutch or in French. At least one of the parents needs to sign the form.
  • Please include two recent photographs which comply with ICAO standards (see document in Dutch or in French).
  • Payment: see What is the price of a passport? and How can I pay?
  • A prepaid Special Delivery Envelope addressed to yourself should you wish to receive the passport by post. This is not required in the event that you come to collect the passport in person at the Embassy.

B. Passport appointment

3. What should I have with me when I come to my appointment ?

  • The email confirming your appointment
  • Your old passport (or temporary passport) should this not have been reported lost or stolen.
  • A duly completed, dated and signed application form either in Dutch or in French.
  • Payment: see What is the price of a passport? and How can I pay?
  • A prepaid Special Delivery Envelope addressed to yourself should you wish to receive the passport by post. This is not required in the event that you come to collect the passport in person at the Embassy.

4. Can I book an appointment by phone?

NO, this can only be done online.

5. Can I keep my old passport ?

YES, you can keep your old passport while it is still valid. You will have to return the old passport to us before we can issue you with the new passport. If requested, the old passport can be cancelled and returned to you. 

6. The appointment I booked is no longer suitable. What do I do?

Go to the online appointment booking site and select the option « cancel appointment » to cancel your appointment or « reschedule appointment » to rebook for another date/time. The system will propose the earliest available appointment. It is possible that this date is sooner than your original appointment. This is due to appointments that have been cancelled by others.

C. Payment

7. What is the price of a passport ?

  • £75 for a  32-page passport for adults.
  • £240 for a 64-page passport for adults.
  • £35 for a 32-page passport for children.
  • £210 for a 64-page passport for children.

8. How can I pay ?

  • On site at the Embassy : only by card (debit or credit card, no American Express)
  • Postal applications for children under the age of 6: Only with a postal order (no cheques, no cash)  made out to “Embassy of Belgium”.

D. Passport collection

9. How long does it take for my passport to be ready?

Your passport will be ready for collection between 10 and 15 working days following the appointment. You will receive an email when it is ready for collection.

10. Will I be contacted when the passport is ready ?

YES, an email will be sent automatically when the passport is ready for collection.

11. My passport is ready for collection. When can I collect it?

Any working day at the Embassy between 9h00 and 13h00.

Make sure to bring along

  • Your old passport, should you not have returned it to the Embassy previously.
  • Your ID-card.
  • The mail confirming that your passport is ready for collection.

12. Can someone else come and collect my passport on my behalf?

YES – you will need to write an authorisation allowing this person to collect your passport. This person will have to present a valid ID-card. This person will also have to return your old passport or temporary passport, should this not have been provided to us previously.

13. Can I receive my new passport by post?

YES – please provide us with a prepaid self-addressed Special Delivery Envelope  at the time of the appointment, if you want us to send you the passport by post.

14. Can I purchase a Special Delivery Envelope at the Embassy or pay an additional fee to have the passport sent by post?

NO – you must bring along a special delivery envelope (prepaid and self-adressed) at the time of the appointment.

15. Royal Mail has lost my passport. What should I do?

Passports sent by post are sent entirely at your own risk. See also this link.

E. Apply for a passport elsewhere

16. Can I apply for a passport in Belgium?

It is possible to obtain a passport quicker (within 24 hours or 5 working days) via the Provincial Authority of your last place of residence in Belgium. We will have to authorise the Provincial Authority in order for you to apply with them. In order to do so :

  • You must be registered with this Embassy.
  • Please send us an email with the completed, dated and signed application form either in Dutch or in French, in attachment, following this format :

17. Can I request a passport with another Belgian Embassy or Consulate (in another country than the UK)?

It is possible to request a passport in another Belgian Embassy or Consulate, but we have to issue them an official authorisation. In order to do so :

  • You must be registered with this Embassy.
  • Please send us an email with the completed, dated and signed application form either in Dutch or in French, in attachment, following this format :

F. Lost or stolen passport

18. My valid passport has been lost/stolen. I requested that my biometric information be kept. What do I have to do now?

19. My valid passport has been lost/stolen. I did not request for my biometric information to be kept. What do I do now?

Please alert DocStop to have your passport blocked. You will need to apply for a new passport or a new passport for children under 6 years.

G. Other

20. How long will the passport be valid for?

  • At present, passports for adults are valid for 7 years.
  • Passports for children are valid for 5 years.

21.  Can the validity of my passport be extended ?

NO – if a passport is no longer valid or will soon expire, you will have to apply for a new passport.

22.  Does my passport need to be valid for 6 months in order to travel ?

In general, you can travel with your passport up until the last day of its validity (within Europe this is the case). We recommend that you verify here or directly with the Embassy of the country of destination whether there are specific conditions that need to be met.

23.  In very urgent cases.

In exceptional circumstances and insofar as the urgency has been sufficiently demonstrated, a temporary passport can be issued.

24.  I regularly need to apply for visa which requires me to leave my passport with another Embassy. What can I do in order to continue to travel?

You can request a second passport if you have a letter of motivation/support from yourself as well as from your employer.
